NCR tracking software
NCR tracking software that closes a nonconformance only on approved work
RTI is NCR tracking software for construction: raise a nonconformance report from the inspection that failed, assign it with a due date, and close it only when an approved re-inspection is linked to it. Every raise and every move is written to the tamper-evident activity log.
- Raised from the failed inspection
- Closes on an approved re-inspection
- Every move in the activity log
- Annular gap filled to depth Pass
- System label photographed Pass
Why an NCR log stops meaning anything
Closed by a status change
Someone sets the row to closed, and nothing on the log shows the work was ever checked again.
Raised from memory
The NCR is typed up days later, with no link to the inspection, the place or the photos that found the problem.
Nobody owns the date
The log has no assignee and no due date, so open items age quietly until the owner's walk finds them.
With RTI
- Closing needs an approved re-inspection
- Linked to the failed inspection
- Assigned, dated, flagged when late
The database refuses to close an NCR until an approved re-inspection of the same project, and of the same tag when the NCR names one, is linked to it.
Raise, assign, correct, verify, close
Raise it from the failure
A reviewer raises an NCR from an inspection with a failed item, and it opens on that project and tag, titled after the checklist, with a link back to the inspection. Any member can also raise one from the NCR register.
Assign an owner and a date
Set a severity of minor, major or critical, an assignee from the workspace and a due date. The assignee is notified in the app, and a daily check flags NCRs due within a day or past due.
Track the correction
The NCR moves from Open to In progress to Corrected, with its root cause and corrective action written on it. Each move can carry a note, and the register puts overdue NCRs first, then the most severe.
Verify with a re-inspection
Closing ruleThe crew re-inspects the work through the Photo Gate. A reviewer links the approved re-inspection to the NCR, and only then does Verify & close unlock.
Carry it to handover
Each raise and move is a row in the tamper-evident activity log. The turnover package lists the project's NCRs with their severity, status and closed date, and says plainly when any is still open.
What it doesn’t do
- It does not raise an NCR by itself. A failed or sent-back inspection stays rework until someone raises one.
- An NCR records a title, description, severity, assignee, due date, root cause and corrective action. It has no disposition or specification field, and its photos live on the inspections it links to.
- Assignees are members of your workspace. There is no supplier NCR or outside responsible party.
- NCRs stay in RTI. There is no NCR spreadsheet export, no NCR email, and no NCR feed through the API or webhooks.
- Raising or moving an NCR needs signal. NCR changes are not queued offline the way inspections are.
What to ask before you buy NCR software
Ask what it takes to close one
If closing an NCR is a status change, the log can say closed while the work is not. Ask what evidence the tool requires before an NCR can close, and whether the database or a habit enforces it.
Check it starts from the failed work
An NCR typed up days later loses the inspection that found the problem. Look for one raised from the failed inspection, carrying its project, its location and a link back to it.
Ask who can verify the fix
The right to verify and close should be a role the tool enforces, not a convention. Ask which roles can close an NCR and whether an assignee can close their own.
Ask where open NCRs show up at handover
An open NCR is the owner's first question at turnover. The handover record should list the project's NCRs and their status, not leave them in a separate spreadsheet.
Three moments it answers
Use case 1
A failed firestop
When a firestopping inspection fails on a riser, the reviewer raises an NCR from it, and the NCR links back to the inspection and its photos.
Use case 2
Closed too early
When someone tries to close an NCR with no approved re-inspection linked to it, the close is refused and the NCR stays in Verifying.
Use case 3
A date slips
When an NCR passes its due date, the register lists it first as overdue, and its assignee gets a past-due notice each day it stays open.
Questions about NCR tracking
7 answers
- What is NCR tracking software?
- NCR tracking software records each nonconformance report from the moment it is raised to the moment it is closed: who owns it, when it is due, what was done about it, and what evidence closed it. In RTI that evidence is an approved re-inspection, linked to the NCR before it can close.
- Can an NCR be closed without a re-inspection?
- No. The database refuses to close an NCR until an approved inspection is linked to it. That inspection has to be on the same project, on the same tag when the NCR names one, and no older than the NCR. A reopened NCR can be closed again on the inspection already linked.
- Who can close an NCR?
- Anyone with the right to approve inspections, which by default is Administrators and QA/QC Managers. An administrator can also let assignees start work on their NCRs and mark them corrected; verifying and closing stay with the reviewers.
- Do NCRs appear in the turnover package?
- Yes, when the project has any. The package lists each NCR with its severity, status and closed date, and states when the package is not fully closed out because an NCR is still open.
- Can crews raise NCRs from the field?
- Yes. Any member can raise an NCR from the NCR register, which works in the phone's browser like the rest of RTI, and reviewers can raise one straight from a failed inspection. Raising or moving an NCR needs signal; unlike an inspection, it is not queued offline.
- Is NCR tracking an extra cost?
- No. NCRs are on by default in a new workspace on either plan, and an administrator can turn them off in Settings. NCR analytics, such as aging and time to close, and the client portal's NCR list come with the Company plan.
- Is there a blank NCR form?
- Yes. The free nonconformance report template is a printable PDF with blocks for the description, the requirement not met, the disposition, root cause, corrective action, verification and sign-off. Use it on paper, or track the same NCR in RTI.
Close your next NCR on evidence
RTI keeps each NCR in the same record as the inspections around it: the failed inspection that raised it, the assignee and due date, every status change in the tamper-evident activity log, and the approved re-inspection that closed it.
