Domestic water heater quarterly maintenance checklist

A quarterly domestic water heater round is short on purpose: it catches the wear items that fail between annual services. This checklist is sized for a tech with a phone — every item says what to look at and the photo that proves the round happened. Work is commonly verified against IPC / UPC plumbing codes — confirm the edition your authority having jurisdiction has adopted.

Who runs it

The plumbing or maintenance tech on the quarterly mechanical round.

When in the schedule

Every quarter, paired with the recirculation pump check since the two fail together.

The checklist

Every item, and the photo that proves it

The photo count on each row is what RTI would require before the item can be submitted. Copy the list as-is, or load it into RTI and let the gate enforce it.

01

Safety devices

  • T&P relief valve lifted and reseated

Valve actuated briefly, flows freely and reseats without weeping, discharge line unobstructed and terminated correctly.

    2 photos
  • Expansion tank charge checked where fitted

Tank pre-charge checked against system pressure, not waterlogged.

02

Combustion and venting

  • Vent and intake clear and properly sloped

Full vent run visually checked, no sagging, corrosion or blockage, clearances to storage maintained.

    2 photos
  • Burner flame and ignition observed

Steady blue flame on gas units, clean ignition, no rollout or sooting signs.

03

Leaks and temperature

  • Tank, fittings and pan checked for leaks

No moisture at connections, no rust trails on the jacket, drain pan dry and alarmed where fitted.

    2 photos
  • Delivered temperature verified at a fixture

Actual fixture temperature measured and compared against the setpoint and any mixing valve setting.

What usually sends this back

The failures are almost always the evidence, not the work

  • T&P valve assumed good because it isn't dripping — it's never actually lifted and reseated.
  • Flue or intake partially blocked by stored material in the mechanical room.
  • Delivered temperature drifting high or low with no one reading a fixture, just the aquastat.

Common questions

What does this domestic water heater quarterly checklist cover?
6 items across 3 sections — safety devices, combustion and venting, leaks and temperature. Each item spells out what the person walking the job is actually looking for, not just a box to tick.
Who should run this inspection?
The plumbing or maintenance tech on the quarterly mechanical round.
When in the schedule should this walk happen?
Every quarter, paired with the recirculation pump check since the two fail together.
Why does every item ask for a photo?
9 of the 6 items call for photo evidence. A checklist answer without the photo is a claim; the photo is what makes the record worth something in a dispute and lets a reviewer approve work without re-walking the job.
What most often fails a domestic water heater quarterly inspection?
T&P valve assumed good because it isn't dripping — it's never actually lifted and reseated. Flue or intake partially blocked by stored material in the mechanical room. Delivered temperature drifting high or low with no one reading a fixture, just the aquastat.
Can I use this checklist in RTI?
Yes. Start a free RTI workspace, build this list as a checklist, and the Photo Gate holds the submit button until every mandatory item is answered and its photos are attached. Approved inspections roll into a branded turnover package with a tamper-evident audit trail.
