Commercial ice machine quarterly maintenance checklist

A quarterly ice machine round is short on purpose: it catches the wear items that fail between annual services. This checklist is sized for a tech with a phone. Every item says what to look at and the photo that proves the round happened. Work is commonly verified against manufacturer's published instructions, the applicable health and safety code. Confirm the edition your authority having jurisdiction has adopted.

Who runs it

The refrigeration or kitchen-equipment tech on the quarterly round.

When in the schedule

Every quarter. In a busy kitchen the air filter loads and the bin grows slime well before anyone calls it in.

The checklist

Every item, and the photo that proves it

The photo count on each row is what RTI would require before the item can be submitted. Copy the list as is, or load it into RTI and let the gate enforce it.

01

Condenser and airflow

  • Air-cooled condenser coil and air filter cleaned

Coil fins clear of grease and lint, air filter washed or replaced, intake and discharge clearances open.

    2 photos
  • Head pressure and cabinet run temperature normal

No overheating cabinet, condenser fan cycling correctly, no sign of the unit laboring after cleaning.

    1 photo
02

Water system

  • Water filter changed on schedule

Cartridge replaced per its interval, date logged on the housing, inlet valve holding without weeping.

    1 photo
  • Water leaks checked at supply, machine and drain

No drips at the inlet fitting or pump, no puddle under the head, drain flowing and not backing up.

    2 photos
03

Bin and sanitation

  • Bin, chute and door sanitized

Bin interior and door gasket cleaned and sanitized, no slime or pink film at the water line, drain screen clear.

What usually sends this back

The failures are almost always the evidence, not the work

  • Air-cooled condenser packed with grease-laden dust so head pressure climbs and production drops off in the afternoon.
  • Water filter left in past its interval, so scale carries into the machine while the bin ice tastes off.
  • Bin and door gasket wiped but never sanitized, and slime returns at the water line within weeks.

Common questions

What does this commercial ice machine quarterly checklist cover?
5 items across 3 sections, covering condenser and airflow, water system, bin and sanitation. Each item spells out what the person walking the job is actually looking for, not just a box to tick.
Who should run this inspection?
The refrigeration or kitchen-equipment tech on the quarterly round.
When in the schedule should this walk happen?
Every quarter. In a busy kitchen the air filter loads and the bin grows slime well before anyone calls it in.
Why does every item ask for a photo?
8 of the 5 items call for photo evidence. A checklist answer without the photo is a claim; the photo is what makes the record worth something in a dispute and lets a reviewer approve work without re-walking the job.
What most often fails a commercial ice machine quarterly inspection?
Air-cooled condenser packed with grease-laden dust so head pressure climbs and production drops off in the afternoon. Water filter left in past its interval, so scale carries into the machine while the bin ice tastes off.
