Operation and maintenance (O&M) manual
An O&M manual is what the owner's facilities team lives on after the contractor leaves. It gathers, per system, the approved product data, operating instructions, maintenance schedules, spare-parts lists, warranty certificates and the contacts to call. It's assembled from the approved submittals and warranties collected throughout the job and handed over as part of closeout.
How it shows up on site
O&M content isn't written at the end — it's the submittal data and warranty paperwork gathered along the way, organized by system. If the submittal register was kept current, the manual largely assembles itself; if it wasn't, closeout turns into a hunt for data sheets on equipment that's already installed.
Why it matters
A thin or missing O&M package is one of the most common reasons final payment stalls. Beyond payment, it's the difference between a maintenance team that can service a unit and one that's calling around for a model number. Matching each manual section to the product actually installed — confirmed by a photo of the nameplate — keeps the handover honest.
